If you have been asked to input information into one or more sections of a plan, these will be listed.
If you are working on a Goal-based plan, a list of available goals will appear. See Goals below for more details.
Click on the plan header to open it, then on one or more available sections of the plan to view the data input fields. If the plan name has a lock icon next to it, you will be able to view the fields but not edit them.
If the plan has a Workflow function, it will appear above the data fields and will show the number of steps (e.g. Prepare, Review, Approve),and the current step will be highlighted. Use the Change button to move to the next available step. Note that the step(s) that can be selected will depend on those that are assigned to portal users. If the plan is in a workflow step assigned to another user level, e.g. for review or approval, you may not be able to change the workflow and the change button will show as Locked.
Use the Link button to link this section to a section of one or more other plans (if available). For example, to link this to an institution level strategic plan.
If the plan has an associated budget, click on the Edit button next to the budget field to enter a $ amount for this section.
Click on a field name to open it. Alternatively, use the Show All button to open all fields.
If a field can be edited, click Edit button to enter information. The information you can enter (text, number, selection) will depend on the field type.
Check the Mark as complete box when you are finished. Alternatively, if it is available, you will be able to check a Not applicable box.
If the function is available, click the File+ button to add any supporting artifacts.
If a field is repeatable, an Add new button will also be available. This is useful if you want to add additional fields, such as a new objective.
To add a Comment to a field, click the comment icon.
Note: This function is only available for Goal-based plans.
A list of any existing goals for the plan section you have opened is displayed. You can add more goals by clicking the Add Goal button.
Each goal has a system generated unique goal ID, e.g. EM-G001. Click the View Goal button to add/update the short name and optional description. (See Edit Goal below).
If the workflow function has been enabled for this plan, the workflow status will appear between square brackets, e.g. [Approved]. The active status will also appear, e.g. Active or Finished.
(See below for more information about workflow and active statuses).
If a goal has been linked to by another goal, a number of 1 or greater will appear in the Links button. Click the button to see these goals.
You can add a preamble to your goal report by clicking the Narrative button. Click the View PDF button to generate this report.
When you click the View Goal button, the goal will open and display. Your screen will look similar to the following.
Click the Edit Goal button to update the goal name and optional description.
Click the Link Goal button to link this goal to one or more available goals. If links already exist, the number will be displayed in square brackets.
If you do not want the goal to be included in the next reporting cycle, e.g. because it has been completed and will no longer be reported on, click the Finish Goal button. You will still be able to edit it in the current cycle.
If the workflow function has been enabled in a plan, the Workflow button will be available and the current status, e.g. Draft, will be displayed.
Click this button to update the workflow status (if available).
If the budget function has been enabled in a plan, the Edit Budget button will be available. Click to update the budget entry.
Each goal has a set of one or more Reporting fields. These fields are configured by your institution and reflect the information to be reported for each goal.
In the example below, these fields consist of an Objective, for which there is a corresponding Result and Reflection field.
Click on a field name to open it and update the information. See Reporting fields above for additional information.
