Programs

If you have been assigned as an Assessor or Peer Reviewer of one or more programs, these will be listed.

If you have tagged any of the fields in a program assessment (see below), a wordcloud may also appear.

Note: Field tagging may not have been enabled on your system. Check with your Xitracs administrator.

 

Click on the program header to open.

Programs are managed in cycles and any available cycles will be displayed, together with a graphic displaying the level of input completion.

If your system is configured to allow program details to be managed through the portal, the details panel will also appear (see below).

Usage of the details panel is covered later in this section.

Click on an available cycle progress bar to open the assessment fields.

If you are assigned as an assessor, (i.e. writing the program assessment report), you will be able to edit the fields. Peer reviewers cannot edit fields but are able to add comments.

Click the All Fields or Outcomes button to toggle between an outcomes-only and all-fields view.

 

If Workflow has been enabled for a program, you will be able to set the approval status for the fields, depending on whether your are an assessor or peer reviewer. (See below).

 

If enabled by your Xitracs administrator, you will be able to select and add Program Outcomes or GenEd Outcomes to the reporting field set for a cycle, by clicking on the +Program or +GenEd button.

 

Click on a field to open it for editing (or comment if you are a peer reviewer). You can also click the Show All button to open all of the fields.

If a field has been locked by the program administrator or if it's not available for editing in a specific cycle, a Locked indicator will appear.

The buttons that are available for a specific field depend on how the program field-set has been configured by your institution.

 

oIf a field has been configured as repeatable, an Add new button will appear. Click to generate a new instance of the field, e.g. an Objective.

oClick the Edit button to enter information into the field. Depending on the field type, you may be able to enter text, yes/no, $ amount or make a selection. (See also Outcome Fields below). You can also mark the field as Complete if appropriate. If a field has been configured as Optional by your program administrator, a Not applicable checkbox will also appear.

oYou can copy the content of a field from a previous cycle by clicking the Copy button, for example to bring forward an objective into this cycle.

oIf a field has been configured to link to a course, the Course button will appear. Click to select a course from the program. Once added, you can click on the course link and add a comment or additional information.

oIf a field has been configured to allow file upload, a File+ button will appear. You can add one or more files in support of your response.

oIf a field has been configured to allow linking, a Link button will appear. If your institution has installed the Xitracs Planning™ module, you will  be able to link to one or more sections of available plans.

Note: You can link a Program Outcome to an available GenEd or External Outcome, but not to another Program Outcome. Similarly, you cannot link a GenEd Outcome to another GenEd Outcome.

oYou can optionally annotate a field by clicking the Tag button. This can be useful later in ad hoc searches for finding certain information.

oClick the portal_commenticon Comment icon to add an inline comment to the field. Certain fields may have been configured with a Results function. If so, you will be able to set an option such as "Approved" when adding a comment.

 

 

Workflow

If the workflow feature has been enabled for a program, you will see a panel showing the workflow status. Depending on your role, e.g. assessor or peer reviewer, you will be able to update the status by clicking the Change button.

 

Program Rubric

If the program has an associated program rubric, you have the option to score the quality of the program assessment report. Click the Rubric button and then select the appropriate radio buttons in the rubric matrix.

You can also view a summary of all assessor, reviewer and coordinator scores by clicking the Rubric Report button.

 

Details Panel

If the details panel has been enabled in the portal, you will be able to access some or all of the following information depending on how your system is configured:

In the Reporting Cycles panel, click on the Map button to update the Course/Semester map. This lets you define which outcome will be assessed in which reporting cycle.

 

Assessment

If your institution has installed the Xitracs Assessment™ module, you can generate a quantitative assessment report and optionally add it to a specific field in the program report as a supporting artifact.

The assessment report can include outcome assessment data in graphical and tabular formats from one or more semesters that you select. It is dependent on data having been collected for the course sections that apply to this program.
